Data Rights and Protection
Violinksys ERP has the utmost respect for our customers’ privacy and information protection. Given the ever-changing regulatory environment, we strive to stay ahead of the curve. In our mission to ethically and lawfully serve our customers, we have the following policies in place in order to adhere to international and domestic law:

Obtaining Consent
Violinksys ERP wrote our terms of service to make it as understandable and straightforward as possible. Our valued customers are able to give and rescind consent at any time. If at any time you wish to remove consent, please email our Data Protection Officer at support@violinksys.com . Additional details are provided below in our “Data Protection Officer” description.

Timely Breach Notification
In the event of a data breach, Violinksys ERP will notify our associated data controllers and customers within 72 hours. In addition to outlining the nature of the breach, the breadth and actions involved to remedy the situation will be detailed.

Right to Data Access
If at any time a customer wishes to access his or her existing data profile, Violinksys ERP will provide a free electronic copy of the data we collected about that customer. This report will also include the various ways the information has been used.

Right to Be Forgotten
If at any time a customer discontinues their relationship with violinksys.io, the customer can request that his or her personal data be wholly erased from our records.

Data Portability
This gives users rights to their own data. Customers will be able to obtain their data from violinksys.io in an electronic report and reuse that same data in different environments outside of ours.

Privacy by Design
Violinksys ERP has a full and detailed map of our data collection process and the various parties privy to that data. Violinksys ERP has specifically designed its systems and trained its staff to maintain customer privacy. We strive to continue to improve and adapt this design to be forward-looking.

Data Protection Officer
Violinksys ERP has appointed a Data Protection Officer who can be reached at support@violinksys.io. This internal officer will be able to rescind customer consent as requested, alert stakeholders of a data breach, provide access to data reports, ensure the right to be forgotten, establish data portability as requested, and oversee privacy by design with fiduciary responsibility.

Termination
Mutual Termination Rights. We offer additional mutual rights to terminate the terms for the cause. In addition, customers are free to terminate at any time (and we offer a refund for customers’ first 14 days on Violinksys ERP).

The Collection of Information
Our principal goals in collecting information are to provide and improve our Site, Application, services, features, and content, administer your use of the Site and Application (collectively, the “Service”), and enable users to enjoy and easily navigate the Site and Application. The types of information that we collect include:

Information you provide to us

Personal Information: You may browse the Site and Application without providing any personal information that may be used to identify you personally. However, when you register for and use the Service, access certain content or features, or directly contact the Site or Application, we may ask you to provide information, including:

• your name, phone number, mobile phone number, email address, and postal address;
• your username, password, and account setting preferences;
• your credit card number, billing address, and other billing-related information.

Information automatically collected
When you visit and interact on the Site or Application; specific data is collected automatically, including:

Non-Identifying Information: We collect other non-identifying information you provide as part of the registration, administration, and personalization of your Violinksys ERP Account profile (e.g., account preferences) (“Non-Identifying Information”). We may combine your Personal Information with Non-Identifying Information and aggregate it with information collected from other Violinksys ERP Users (defined below) to attempt to provide you with a better experience, to improve the quality and value of the Site, Application, and Service, and to analyze and understand how our Site, Application, and Service are used. We may also use the combined information without aggregating it to serve you specifically, for instance, to deliver a product to you according to your preferences or restrictions.

Log Data: When you visit the Site and Application, whether as a Member or a non-registered user (any of these, a “Violinksys ERP User”), our servers automatically record information that your browser sends whenever you visit a website (“Log Data”). This Log Data may include information such as your computer’s Internet Protocol (“IP”) address, browser type or the webpage you were visiting before you came to our Site and Application, pages of our Site and Application that you visit, the time spent on those pages, the information you search for on our Site and Application, access times and dates, and other statistics. We use this information to monitor and analyze the use of the Site, Application, and the Service and for the Site and Application’s technical administration, to increase our Site and Application’s functionality and user-friendliness, and to better tailor our Site and Application to our visitors’ needs. We do not treat Log Data as Personal Information or use it in association with other Personal Information. However, we may aggregate, analyze, and evaluate such information for the same purposes as stated above regarding additional Non-Identifying Information.

Cookies: Like many websites, we use “cookies” to collect information. A cookie is a small data file that we transfer to your computer’s hard disk for record-keeping purposes. We use cookies for two purposes. First, we utilize persistent cookies to save your login information for future site and application logins. Second, we utilize session cookies to enable certain features of the Site and Application, better understand how you interact with the Site and Application, and monitor aggregate usage by Violinksys ERP Users and web traffic routing on the Site and Application. Unlike persistent cookies, session cookies are deleted from your computer when you log off from the Site or Application and then close your browser. You can instruct your browser, by changing its options, to stop accepting cookies or to prompt you before accepting a cookie from the websites you visit. If you do not accept cookies, however, you may not be able to use all portions of the Site or Application or all functionality of the Service.

Web Beacons: Our Site and Application may contain electronic images known as Web beacons (sometimes called single-pixel gifs) and are used along with cookies to compile aggregated statistics to analyze how our Site and Application are used and may be used in some of our emails to let us know which recipients have opened emails and links. This allows us to gauge the effectiveness of our Member communications and marketing campaigns.

Information collected from other sources
We may access information about you from third-party sources and platforms. You can register to use the Service by logging into online accounts you may have with third-party service providers (“TPSP”)(e.g., Facebook, Twitter, or LinkedIn); each such account, a “Third Party Account,” via our Site or Application as described below. As part of the functionality of the Site, Service, and Application, you may link your Violinksys ERP Account with Third-Party Accounts by either: (i) providing your Third Party Account login information to Violinksys ERP through the Site, Service, or Application; or (ii) allowing Violinksys ERP to access your Third-Party Account, as is permitted under the applicable terms and conditions that govern your use of each Third-Party Account. You represent that you are entitled to disclose your Third Party Account login information to Violinksys ERP and grant Violinksys ERP access to your Third-Party Account for use for the purposes described herein without breach by you of any of the terms and conditions that govern your use of the applicable Third-Party Account and without obligating Violinksys ERP to pay any fees or making Violinksys ERP subject to any usage limitations imposed by the applicable TPSP.

Suppose you register by logging into a Third Party Account via our Site or Application. In that case, we will obtain the Personal Information you have provided to the applicable TPSP (such as your actual name, email address, profile picture, names of TPSP friends, words of TPSP groups to which you belong, and other information you make publicly available via the applicable TPSP and additional information you authorize Violinksys ERP to access by allowing the TPSP to provide such information) from your Third-Party Accounts and use that information to create your Violinksys ERP Account and Violinksys ERP Account profile page. Depending on the Third-Party Accounts you choose and subject to the privacy settings that you have set in such Third-Party Accounts, you understand that by granting us access to the Third Party Accounts, we will access, make available, and store (if applicable and as permitted by the TPSP and authorized by you) the information in your Third-Party Accounts so that it is available on and through your Violinksys ERP Account on the Site, Service, and Application. Suppose there is information about your “friends” or people you are associated with within your Third-Party Account. In that case, the information we obtain about those “friends” or people you are associated with may also depend on the privacy settings such people have with the applicable TPSP.

Use of Your Information
We do not use Personal Information for purposes other than those disclosed to you in this Privacy Policy and at the time it was collected, except with your consent or as required by law. We collect information for one or more of the following purposes:

Email Communications: We may use the information we collect to send you email communications or information about your account or changes to the Site, Application, or Service (including any changes to the Terms of Service and this Privacy Policy).

• Service-Related Announcements: Occasionally, we may send you service-related announcements when it is necessary to do so. For instance, if our Site or Application is temporarily suspended for maintenance, we might send you an email or other message. Generally, you cannot opt out of these communications, which are not promotional but part of your Violinksys ERP account and Site and Application usage.
• Customer Service: Based on the Personal Information you provide us, we may communicate with you in response to your inquiries to provide the services you request and to manage your account. We may communicate with you by email, telephone, or via the Site or Application.
• Internal and Service-Related Use: We use information, including Personal Information, for internal and service-related purposes only and may provide it to third parties to allow us to facilitate the Service. We may use and retain any data we collect to provide and improve our services.
• Aggregate Data: We may anonymize and aggregate data collected through the Site and Application and use it for any purpose, including for commercial purposes.
• Violinksys ERP’s Sharing of Information
  Except as described in this Privacy Policy, Violinksys ERP will not share any personal information it collects with third parties without your consent. We may share information with third parties in the following situations:
  

  • Vendors and Service Providers: We may share information with third-party vendors and service providers who work on our behalf and provide us with services related to the purposes described in this Privacy Policy or our Terms of Service. For example, we may share information with vendors who provide data storage services, security services, email communications, and fraud detection.
  • Business Transfers: If Violinksys ERP is involved in a merger, acquisition, sale of assets, or bankruptcy, your information may be transferred as part of that transaction. We will notify you by email and/or a prominent notice on our Site and Application if your information becomes subject to a different privacy policy.
  • Legal Compliance and Protection: We may share information to comply with legal or regulatory obligations and respond to lawful requests, such as subpoenas, warrants, or court orders. We may also share information to protect our rights, property, and the safety of others.
  • Your Consent: We may share information with your consent.

Data Security
We have implemented reasonable measures to protect information about you from loss, theft, misuse, unauthorized access, disclosure, alteration, and destruction. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security. We advise you to follow best practices, such as using unique passwords and logging out of your account when not in use, to protect your information further.

Accessing and Updating Your Information
You may access, review, correct, or update your Personal Information at any time by logging into your account settings or contacting us at support@violinksys.com. If you choose to deactivate your account, please note that we may retain certain information as required by law or for legitimate business purposes, such as preventing fraud and protecting our platform’s security.

Changes to Our Privacy Policy
Violinksys ERP reserves the right to modify this Privacy Policy at any time. If we make material changes to this policy, we will notify you by email (sent to the email address specified in your account) or by posting the revised policy on our Site.
